How to initiate the exit of an employee?

When it comes to relieving an employee from the organization, whether it's due to resignation or termination, the HR admin (Global, Executive, or Manager) can easily initiate the exit process on the Keka portal. Once the exit is initiated, the employee will immediately enter the notice period, as per the notice period policy, unless a specific last working day has been manually assigned to them by the authorized user.


To initiate exit for an employee open their Profile and click on the Actions (1) option. Now select Initiate Exit (2) from the dropdown menu.



This will open the Initiate Exit window. Here you have to choose the reason for initiating exit (1) for this employee and choose if there has been a discussion regarding this action (2) will the corresponding employee. If the answer is Yes, then you have to provide a Summary (3) of this discussion. 


Next, based on the reason for initiating exit, you have to choose the reason for resignation or termination (4).



Then, choose the date on which the notice of resignation/termination was given (5). Also, select the last working day of the employee (6). You have the option to keep the last working day as per the default notice period or choose any other date.


Next, choose if the employee is eligible for rehiring (7). You can add a relevant comment regarding this action (8). Additionally, you can choose to attach any relevant files (9). Finally, click on Initiate Exit (10).



After completing these steps, the resignation request will proceed to the approval stage, if necessary. It will then be reviewed by the admin, who will make the final decision to either accept the resignation or retain the employee. Once the admin confirms the decision, the employee will immediately enter the exit process.
