How to update employee Job Details in bulk?

Modified on Fri, 12 May, 2023 at 12:28 PM

Job details of an employee consist of details like the joining date, probation period, shifts that they are assigned to, leave policy they have been assigned, and more. It is important to keep these details updated. If you are beginning to use Keka or if you have made large scale changes to your processes and policies, you can import these details in bulk using this bulk update feature. This functionality is accessible to users with Global admin, HR executive, and HR Manager roles.

To update job details for multiple employees at once, open the Org section and make sure you are on the Summary section under Dashboard.

Here, find the Quicklinks section and click on Import Employee Job Details.

This will open a new window from where you have to Download the Excel Template

You can choose to download the Excel sheet with the details of all the employees or a group of employees based on the available filters.

Either way, click on Download and a 'File download in progress' box will appear and upon its completion, the Excel sheet will be downloaded to your system.

Now open the sheet, update the relevant details, save it, go back to the portal, and use the Upload Excel File button to import the data. To learn more about how to import data on Keka, click here.

Email notifications will be triggered to the employee when the following details are updated: the probation period is extended to a later date, and there is a change in shift or week-off.

Once the process is completed, updated details will be visible to the concerned employees on their profile, in the Job details section.
