Employee job title changes can happen for various reasons, including promotions, organizational shifts, increased responsibilities, specialization, career shifts, and adapting to industry trends. When an employee experiences a job title change, Keka equips administrators with the tools to easily edit and update this information on the portal.
To update the job title of an individual employee on Keka, navigate to the Global Search bar (1), and search for the employee by name and go to the employee's profile.
Within the employee profile, go to Job and navigate to Job Title - Primary. Click on the Edit icon available beside the current job title.
In the overlay window, select Job Title Change and select the New Job title from the drop-down available and also set the Effective from date. Once completed, enter the reason for change as a comment under Note and click on Update. This will update the job title of the employee.
In case you are looking to change the job title of employees in bulk, go to Org (1) and navigate to Dashboard. Here under Summary, you will find Bulk operations under which click on Import Employee Job details (2).
In the window click Download the Excel Template.
In the Pop-up select if you would like to download the template for All employees or Only Group of Employees. In case you select a group of employees choose from the available filters to specify employees as per your requirement. Once this is done you can click Download to download the Excel template.
In the sheet go to Job Title and click on the cell and select the New Job title from the dropdown and change it for all the employees and save the file.
Once the updated template is ready go to the Import Job details page again and Upload the Excel file.
On the next page check the Columns and click Continue.
On the last page, if there are no errors, you can click Complete to upload the file.
