How to change exit date of an employee?

When the employees submit their resignations, they get the option to choose an optional exit date. As per the approval chain, the reporting manager or admins can approve or reject the resignation. If the resignation is being approved, you get to choose the exit date here. You can also change the exit date of an employee when the resignation is yet to be approved. Let us look at how you can do this on the Keka HR Portal. 


Updating the exit date- different methods


When the exit has not been approved

You can change the exit date of the employee when the exit or the resignation has not yer been approved. This can be done in 2 ways. From the employee's profile or from the Org section on the portal. 


Changing the exit date from the employee profile

To change the exit date from the employee profile, search for the employee via the search bar on top of the portal and select the employee from the drop-down list. On the employee profile, you will find a section with the date of resignation which will prompt you to take action on the resignation. Click Update from here. 



In the Update Exit window, you can find the section which deals with the exit date of the employee. You can choose if you want the last day of the regular notice period to be the exit date or if you want to change the date of exit. Select the Exit Date you want and click Update Exit



From the Org section

Navigate to Org (1) from the left navigation pane. Select the Exit tab (2) from this page. Go to the Pending Approvals tab (3) here. All the resignation and termination requests that are awaiting approval will be listed here. Find the employee for whom you want to update the Exit date from the list. You can use the filters or the search bar here to find the employee.  



Click on the three dots in the Actions column and select Update Exit Details from the drop-down.



In the Update Exit window, you can choose the exit day for the employee. Click Update to finalize the exit date for the employee.


When the Exit has been approved

You can update the exit date of the employee even when the exit has already been approved. This can be done from the employee profile or from the org section of the Keka portal. Let's look at how to do this in both of these methods.


From the employee profile

Search for the employee who is in the exit process using the search bar on top of the portal. Open the employee profile. You will find a section with the exit details on the top of the screen. Click on Update.



In the Update Exit window, you can see the current exit date selected. You can make changes to this from here and choose the desired exit date for the employee as per your need. Click Update Exit once you have updated the exit date. This will change the exit date for the employee to the selected date. 



From the org section

To update the exit details of any employee from the org section, Go to Org (1) from the left navigation pane and then select Exits (2) and then select the In Exit Process (3) tab from this screen. 



All employees who have their exits approved and are serving the notice period will appear here. Click on the Three Dots in the Actions column next to the employee for whom you want to update the exit date. Select Process & Settle from the drop-down list. 


On the Exit Process window, in the Exit Notice section, you can find the Exit Details of the employee. Click on the Edit icon here to edit the exit details. 



From the Update Exit window that opens up, you can choose the exit date or the notice period duration that the employee has to serve. Click Update to save the exit details. 



This will update the last working day of the employee.
