The hiring process is crucial for organizations as it ensures the acquisition of qualified talent, aligns staffing with business needs, promotes organizational growth, and contributes to a positive workplace culture. Effective hiring processes lead to enhanced productivity, innovation, and long-term success.
Managing this process is crucial for efficient talent acquisition, cost control, legal compliance, positive candidate experiences, and overall organizational growth.
Let us now take the case of an example and go through each stage to better understand how to manage the hiring process.
To begin, let us go to the Jobs (1) section and select a job (2) under Active Jobs.
A new page will open, where at the top, you will be able to view the Hiring Flow (1) for the given job. In this example there are 6 stages.
We will take the candidate Prakash Kumar (2) as our primary candidate to understand the hiring flow.
To view additional details of a candidate, click on the candidate name.
A new page will open up where you will be able to view the candidate profile. There are tabs of Profile, Messages, Feedback, etc., and on the right hand side of the screen there are actions of changing the stage, archiving, scheduling an interview, etc..
Under the Actions column, you have the options to Move stage (1), Add Note (2), and if you click on the three dots (3), you have multiple possible actions that are visible in the dropdown box including scheduling interviews, sending assessments, adding feedback, etc..
As can be seen, the candidate Prakash Kumar is in the Sourced stage at the moment. Let us start by moving him along with a few other candidates to the next stage, i.e. Screening.
For this, we will have to tick the checkbox (1) next to the candidate names, then click on Bulk Actions (2) and then select Move Stage (3) from the dropdown.
An overlay window will open where we can select the new stage (1) and then click on Move (2) to complete the action.
The candidates will be moved and will now be visible in the Screening phase of the hiring flow as can be seen.
Once the initial screening is complete, a call with the Talent Acquisition team in this case, we can move the candidate to the next round by clicking on the Move Stage (1) icon. For those candidates who have not cleared the screening, we can archive them by clicking on the three dots (2) and then clicking on Archive Candidate (3).
An overlay window will appear where we will have to select the reason for archiving (1) from the list of available reasons, add a comment if necessary and choose if the candidate is to be notified, and when (2). Following that we will select the relevant email template (3) and then click Confirm (4).

In the Assessment stage, we can send the candidate the required assessment by clicking on the three dots (1) under Actions column and then click on Send Assessment (2).
You can click on the links to know more on how to integrate online assessment platforms like Mercer | Mettl and HackerEarth with Keka Hire.
An overlay window will open where we can select the Assessment platform, the type of assessment, and the no. of days within which the test link would expire.
Following this, we can select the email template to be shared with the candidate, then click on Send.
Once the candidate has cleared the assessment and is in the Interview stage, we can set up an interview by clicking on the three dots (1) and then selecting Schedule Interview (1) from the dropdown.

Once the candidate clears all the rounds of the hiring process, we can move him to the Preboarding stage. To do so, we will click on the 3 dots (1), then click on Move to (2), and select Preboarding (3) from the dropdown.
A pop-up window will appear where we will enter the Work location and then click on Confirm.
The candidate will now move to preboarding and we will get a success notification notifying us of the same.
We can view the employee once he is in the pre-boarding stage by visiting the Pre-boarding section.
Once the candidate has completed all the pre-boarding stages, he will be hired as an employee of the organization.
