Creating & managing task templates

What are task templates in Keka PSA


Task templates in Keka PSA are reusable sets of tasks that can be defined once and copied over to projects, providing a time-saving solution for organizations that frequently handle similar kinds of projects.


Within these task templates, you have the flexibility to create a comprehensive structure for projects by adding phases and tasks.


How to create a task template


To do this, navigate to Project (1), go to the Projects (2) section, and open the Task Templates (3) tab. Here, click on the +Add Template (4) button.



This will cause a new overlay window to open up where you can give this task template a Name and a Description (optional). 



Once you click Add, this template will be visible in the Task Templates list. Now you can start adding Tasks and Phases to this template.



How to add tasks and phases to a template individually

 

Let's start by adding phases to the template, then we will add tasks in these phases.

 

It is not mandatory to add Tasks within a Phase only, Tasks can be added indivudually also.


Click on the +Add Phase option and a field will appear. In that, fill in the phase name and click on the 'tick' icon to save it.



Now you can add as many phases as required and add tasks in them by clicking the +Add Task option under a particular phase. 



Similar to how phases are added, just fill in the task name in the field that appears and click on the 'tick' icon to save it.




If you click on the +Add task option on the top ribbon of a template after you have already added phases in the template, it will create a task under the last phase.


 

How to add tasks and phases to a template in bulk


If there are a lot of tasks and phases you want to add to a template at once, you can easily do so with the bulk import feature. To do so, simply click on the Import from Excel icon.



This will open the Bulk import tasks/phases. From here, you have to download the Excel Template.


In the downloaded sheet, you can add as many tasks and phases as required. You can also give a description for any task. Then you just have to use the Upload Excel File button to import the data. To learn about this process in detail, check out this article.



The tasks which are under one phase should have the same phase name against them in the Excel sheet.
