Resources - Overview
Resources on Keka PSA refers to the employees who are assigned to a project. Any number of resources can be assigned to a project based on the requirements. You can also configure the specific roles that these resources would play in the project and also set a billing rate based on the role that they have.
One other important feature is that you can set an allocation for each resource which defines the time they will be spending on each project. You can set allocations for each resource ranging from 25% of their total work hours to 100% of their work hours.
One other important feature pertains to adding shadow resources. Shadow resources are typically used when you want to free up the bandwidth of senior resources. You can assign any resource as a shadow resource after adding them to the project. All tasks assigned to the main resource will also be assigned to the shadow resource for that timeframe.
You can only utilize the resource allocation feature if you possess a subscription for resource management.
Adding a resource to a project
Let us now see how you can add resources to a project on Keka PSA.
Navigate to Project (1) from the left navigation pane and go to the Projects tab(2). Ensure you're on the Project List (3) tab here.
Here, you will see the list of projects that have been added to your portal. You can view the new project you want to configure on this page. If the project status is marked as In Progress when you added it, go to the Active Projects tab here and find the project. If you marked the project status as Not Yet Started or any other, you will have to go to the All Projects tab and find the project here.
In this case, the project has the status Not Yet Started and hence it is under the All Projects tab. Click on the project to go to the inside page.
If you are trying to add resources to a new project that you just added, you can do it from the Get Started tab of the project. If you are adding resources to an already existing project, you can go to the Team tab of the project directly.
On the Team tab, ensure you're on the Active Allocation tab, and then click on +Add Resource to add a new resource for the project.
You can add the resources to the projects as you wish on the Add Resource page. Search for the employee you want to add as a resource and select the employee from the list. You can now set an Allocation for the employee by clicking on Set Allocation. This is useful when you don't want to add a resource to the project on a full-time basis or if you want to split a resource's time between two or more projects. In the overlay that opens up, enter the Start Date and End Date for the allocation and also set the Allocation %.
The next thing to select is the billing role for the resource. You can define the billing roles you want in the billing section of Keka PSA and the roles you have configured here will show up along with the hourly rates that this resource will be billed at. Select the specific billing role for the resource from the Billing Role drop-down.
To add another resource, click on the +Add Resource hyperlink below the details of the resource you just added. If you are done adding the required resources, click Add to finish.
Editing the details of a resource
To edit the details of a resource that you have added to the project, go to the Team tab and click on the Edit Icon in the Actions column corresponding to the resource you want to edit. Make the necessary corrections here and then click on the Update Icon that shows up in the Actions column.
Removing a resource from the project
To delete a resource from the project, click on the Delete icon in the Actions column. Click Remove in the confirmation window to remove the resource from the project.
