Inbound Candidate Owner Assignment Enhancements

We are pleased to announce an update to our Inbound Candidate Owner Assignment feature, which now includes the "Round-Robin Candidate Owner Assignment" option. This new feature ensures that candidate ownership is fairly and efficiently distributed among recruiters, giving you more control and flexibility over the process while improving the overall candidate experience and speeding up your time-to-hire. 

 

  To use this new feature, go to the "Hiring Team" section when creating or editing a job. The Round-Robin option complements our existing "Assign to Individual" and "Do Not Assign Owner" options, and will automatically assign candidates to the next recruiter in the rotation, ensuring that the workload is distributed fairly. The system will assign new candidates to the recruiter with the least number of active candidates owned, rotate to other recruiters when a recruiter reaches the maximum limit of active candidates owned, and ensure that each recruiter has an equal number of active candidates owned.  

 

 This feature is available for all inbound candidates, including those who apply via your career portal, internal referrals, sourced via email, and other sources. However, it only applies to online and confidential jobs and requires at least two recruiters to be in the job for the round-robin to work.  

 

 Here's an example of how all three options would work for a hypothetical job posting:  

 

 - Round Robin assignment: Let's say there are three recruiters in the hiring team for a job posting, and the Round Robin option is selected for candidate ownership assignment. If the first candidate applies, they will be assigned to the first recruiter in the job. If a second candidate applies, they will be assigned to the second recruiter in the job, and so on until each recruiter has an equal number of active candidates. (Here, active candidates means candidates who are in job hiring stages and aren't moved to preboarding, hired, or archived stage)  

 

 - Assign to Individual: If the Assign to Individual option is selected for the inbound candidate owner assignment, the user creating the job posting can select a particular recruiter to own all inbound candidates for that job. For example, if the user selects "John Smith" as the recruiter for the job, any candidate that applies to that job will be assigned to John Smith.  

 

 - Do Not Assign Owner: If the Do Not Assign Owner option is selected, there will be no designated recruiter for inbound candidates that apply to that job. Candidates will be added to the system without an owner and will need to be manually assigned by a member of the hiring team.  

 

 We hope these examples help clarify how each option works and these enhancements will help streamline your recruitment process & improve the overall experience for candidates.
