Adding Frequently Used Emails as Templates

We are excited to announce a new feature in Keka Hire that will significantly enhance your hiring experience - email templates! 
 
With this new feature, you can create custom email templates for various categories of emails, including General, Interview Scheduling, Candidate Rejection, Offer Release, and Assessment. These templates are designed to help you balance personalized communication with consistent messaging at scale. 
 
Here are the key benefits of this feature: 

  • Save time and effort when communicating with candidates 

  • Maintain a personalized touch in your communication 

  • Ensure consistent and professional emailing 
     

To access email templates, go to Settings > Notifications > Email Templates. You can create and edit email templates here. Anyone with the privilege of “Send email” will have ability to create new templates in the system. 
 
 
 
To create a new email template, click on “Create template”, select the category of email you want to create a template for, fill in all the information like template name, subject, email content and click on “Create”.  
 
 


To edit an existing template, click the three dots against the email template you want to edit and then click on Edit. You can change the email template's name, subject, email content, and visibility.  Visibility can be set to either visible to everyone or only to you, making it easier to share templates with your team. By default, admins will be able to view all the email templates in the system regardless of the visibility. 
 
You can also duplicate the existing template and modify, this helps in quick creation of new templates. 
 
When emailing candidates, you can choose to use any of the communication templates. 
 
 
Here are a few examples of how you can use email templates in Keka Hire: 

  • Use the General template to send a follow-up email to candidates after an interview 


 
 

  • Use the Interview Scheduling template to schedule an interview with a candidate 


 
 

  • Use the Candidate Rejection template to notify a candidate when archiving them 
     
     
     

  • Use the Offer Release template to release an offer to a candidate 
     
     
     

  • Use the Assessment template to schedule a candidate assessment 
     
     
     
    With email templates in Keka Hire, you can now streamline your communication with candidates and focus on finding the perfect fit for your organization.
