Managing the candidate experience portal on Keka

Keka's candidate portal serves as bridge for new hires to transition from the hiring process to the full time role with all the access and privileges. The candidate experience portal is really the next big point of engagement with the candidate after the completion of the hiring process. 


You can add important messages to candidates here, assign pre-boarding and onboarding tasks that you want them to complete as well as share important information regarding the company and the onboarding process. A well designed candidate portal helps you set the right message and prevent candidates from dropping off post the selection process. 

 

Go to Org and then select Onboarding. Go to the Settings tab and In the Candidate Portal section of onboarding you will  see Edit portal  button.

In the candidate portal's Homepage settings. Access the Company Logo section. You can reinforce brand recognition by display the existing company logo or ‘uploading(1) a new one that candidates will associate with their new workplace. 

 

Directly below the logo section. Find and ‘Toggle’(2) the ‘Welcome Message’ option. 


Write an engaging introductory message to build excitement about the new partnership. This message should be welcoming and reflective of the company's culture.

Under the 'About company' section you can add company page. Ensure the toggle is turned on to activate this feature. Insert the URL to your company page to offer candidates a window into the organization's values and environment.

Within the 'Tasks' section you will see any tasks that were assigned to the candidate during the offer process. Click on Go to task templates to select pre-designed tasks. 


Assign relevant tasks for candidates to complete as part of their pre-boarding process, such as filling out forms or reviewing onboarding materials.

Edit(1) the ‘What to expect on your first day’ section. Provide clear, concise information on what the candidate should expect when they walk through the door, setting a reassuring and organized tone for day one. 

 

Below the first-day expectations. Add (2) contact details in the 'Reachout’s' section. Include the names, numbers, and emails of team members or HR personnel who can help the candidate settle in, making the onboarding experience more personal and less daunting.

Once you’ve input all details and customized the sections, hit Save & Apply. The system updates with your configurations, preparing the portal for candidate access.

A live preview is available on the same page after saving. The welcome message, company insight, and tasks are laid out cleanly, giving you a true sense of the candidate’s perspective.

This candidate portal page is the first chapter of the candidate's story with your organization. With each step finely tuned—from the logo down to the reachout information—you’re not only outlining what they can expect but also demonstrating the care and attention your company invests in its people. Through this tailored pre-boarding experience, candidates feel welcomed, informed, and ready to embark on their new career journey with enthusiasm and a sense of belonging.
