Managing the interview process quickly and efficiently is vital to the overall recruitment process. A good interview process enhances efficiency, communication, and collaboration while contributing to a positive candidate experience and supporting overall talent management objectives.
Keka Hire makes this process simple and seamless, and with a few easy steps you can send out interview invites to candidates and interviewers.
Within the Keka Hire portal, go to the Candidates (1) section and locate and select the candidate for whom you want to schedule an interview from the list of applicants. Click on the three dots (2) under Actions, adjacent to the desired candidate's name.
Click on Schedule Interview (3) from the dropdown options.
An pop-up window will open up where you will have to select if it is an online interview or a face to face interview.
Scheduling a Face To Face Interview
Select Face To Face Interview from the two options and click on Schedule.
An overlay window will open up with various configuration options. Here, at the top, you can select the date, location, and number of rounds (1) for the interview process.
Following this, you can configure the details for each of the rounds of the interview such as the Panel Members, the Scorecard, the Start Time and the Duration (2) of the interview and then click on Save.

Once you have configured the settings for each of the rounds, you can configure the email that has to be sent across to the candidate and a note for the interview panel (1) as well.
You can select the relevant email template from the dropdown (2) and you can make any additional edits to the content if you wish to.
Note - Changes made to the email content after selecting a particular template will not have any effect on the content of the template and will only effect the current email being sent out to the candidate.

Once you have configured the email to be sent to the candidate, you have the option to type a note for the interviewers.
You can preview the email that will be sent out to the candidate as well as the interview panel by clicking on the Preview Email button.
Under Email for Candidate, you can view the email that will be sent to the candidate, and if you wish to make any changes, you can go back and make the necessary edits and then open the preview window again to see the changes take effect.
Under Email for panel members, you can view the email that will be sent to the interview panel along with the Interviewer note that was typed earlier.
Finally, click on Send to share invitation emails to the candidate as well as the interview panel members, and you are done!
Scheduling an Online Interview
Select Online Interview from the two options and click on Schedule.
An overlay window will open up with various configuration options. Here, at the top, you can select the Panel Members for the interview process.
Following this, you can configure the details such as the Interview Date, the Start Time and the Duration.
Next, you can select the Meeting Platform and the Scorecard from the dropdown options available.

Note - There are no rounds when scheduling an online interview.
The rest of the procedure involves selecting an email template (1) to use to send the interview invite to the candidate and an optional note for the interview panel (2) as well.
One you have furnished the required details, you can click on Preview Email (3) to take a look at how the email will go out to the candidate and interview panel.
If you are satisfied with the preview, you can click on Send (4) to complete the procedure.
