Pre-boarding is the crucial process that occurs after shortlisting a candidate for the job and before their first day at the organization. It involves tasks such as collecting basic information and documents, conducting Background Verification, and generating the Offer letter. In this article, we'll guide you through the stages of pre-boarding on Keka Hire.
1. Start
Here you can see all the employees who have cleared the Interview process but their Pre-boarding is not yet started. You can use the Start pre-boarding available under actions to start the pre-boarding individually or you can use the Check box and select multiple candidates and click Start Pre-boarding on top to start the pre-boarding process.
2. Collect Info
In the collect Info stage, you can request documents from the candidates for verification. You can remind candidates in case they have not submitted their documents, submit documents on behalf of the employee, change the required documents, or move them to the Verify Info stage in case the documents are uploaded.
3. Verify Info
After the documents are uploaded, these documents are verified in this stage. The employees responsible can check the documents uploaded and verify them. Once the documents are verified you can move the employees to the next stage.
4. Release Offer
In this stage, you can generate an offer letter for the candidates which contains the job information including the Job title, Department, CTC, etc for the candidate. Once the offer letter is generated, it is sent to the candidate post-approval if any chain is configured in the settings. Once the offer letter is sent the candidate will move to the next stage.
5. Offer Acceptance
After the offer letter is sent to the candidate, the candidate can choose to accept or reject the offer. The status of the same can be seen in the Offer Acceptance stage. You can also see other options like Revise offer, Revoke offer, update the status of the offer in case the candidate reached out to you directly, etc.
6. Hired
Once the Candidate has accepted the offer, they are moved to the Hired stage. Here if required you can still revise the offer or archive the candidate.
Once the candidate is moved to the HIRED status and you would like to add them as an employee in Keka, you can go to Org (1) and select Hiring (2). Here move to Offers (3) and under Employee Offers search for the employee. Now under Actions select options and click Add as Employee (4).
