Defining some common parameters is important if you are to take full advantage of the various features in Keka PSA. Who are to be considered for allocation, what are the weekly offs for the resources, and defining when an employee is considered to be on bench, determining how many hours is considered in one day, etc are the major settings you can manage in Keka PSA.
To manage these settings, go to Project (1) from the left navigation pane. Select the Resources tab (2) and then go to the Settings tab (3).
Here, you'll find a set of options that you can set which will determine how Keka PSA is configured. Click on Edit Settings to edit these current settings.
This will give you the option to make changes to the settings or set it up for the first time in case it is not set up at all.
Managing resource eligibility
Keka PSA allows you to exclude a set of employees from being available for projects. You can exclude whole departments from the list. This will help you exclude employees from support functions like HR and Legal using this feature. You also have the option to add certain job titles to the exclusion list which would make them ineligible for project allocation.
In the Edit Resource Settings page, let us first focus on the Exclude Employees of these departments for resource allocation field. Select the departments you want to exclude from consideration here.
The second field is to exclude specific job titles from consideration. Select the specific job titles from the organization here. Click on Save to implement these new settings.
Managing Capacity settings
Capacity settings deal with the total hours available for allocation per day and also helps you define when a resource is considered to be on bench.
In the Edit Resource Settings window, under the heading Capacity Settings, you can set the number of hours that is allocated to each resource on a standard day. Define this based on how your organization works. This will also ensure that a resource can only submit timesheets with that many number of hours in a day. This value is set at 8 hours by default on Keka PSA.
The next aspect is to consider is when to consider a resource to be on bench. There are 2 options here. You can select one or both of these options.
No project allocated to resource - Selecting this option would mean that any resource with no projects allocated to will automatically be considered to be on bench.
Only non-billble projects allocated to resource - In this case, when the resources have only been assigned non-billable projects, they will be considered as to be on bench.
Selecting both options would mean that the resource will be considered on bench in both these situations.
Make the appropriate selections and then click Save to save these settings.
