Keka PSA offers a robust platform for efficient project management, enabling organizations to effectively track and manage project progress. One crucial element of effective project management is configuring project settings, which determine how various project aspects are tracked. This article will guide you through the process of accessing and updating project settings in Keka PSA. We'll cover everything you need to know to customize project settings according to your organization's requirements, from managing the approval chain for timesheets to updating project managers and timesheet settings.
Accessing Project Settings:
To begin configuring project settings, go to the Project (1) section and select the Projects (2) tab. Here, you can access a list of all Active Projects within your organization. Alternatively, you can also find all the projects in the All Projects section. Once you locate the project (3) for which you want to update settings, click on it to open the project details page. Within the project details, find and open the Settings section.
Managing Approval Chain Settings:
Managing the approval chain for timesheets is a crucial part of project settings. To view the current approval chain, simply click on the drop-down option. To modify the approval chain, click on Edit Settings.
In the Edit Approval Chain Settings window, you can toggle the option to require approval for timesheets in the project. If enabled, you can update the existing approval chain by adding or removing levels of approval and assigning employees or employee roles to each level. Additionally, you can configure auto-approval settings based on time thresholds. Once you have made the changes, click on Update to save the updated approval chain settings.
Updating Project Managers:
Project managers play a vital role in overseeing and managing projects. In the project settings, you can view the current project managers and their respective access levels. To modify project managers, click on the Manage Project Managers button. In the window that opens, you can add or remove project managers using the Add Manager button and the Delete icon and configure their access permissions. You can specify whether they can manage tasks, and teams, view financials and manage financials for the project. Once you have made the desired changes, click on Save to update the project managers.
There are various actions that you can give project managers permissions for in any project.
Manage Tasks - Allows the project manager with this permission to add and edit taks to the project
Manage Team - Allows the project manager to manage resources for the project.
View Financials - This permission allows the person to view the financial details of the project
Manage Financials-
Updating Timesheet Settings:
Timesheet settings are another important aspect of project configuration. By accessing the timesheet settings, you can define who can submit timesheets, enable task comments, set email notifications for task additions, and require start and end times for tasks. To update timesheet settings, click on Edit Settings within the timesheet settings section. From there, you can configure the timesheet submission permissions, toggle various options that govern the submission of timesheets, and define task-related requirements for the same. Once you have made the necessary configurations, click on Update to save the updated timesheet settings.
Updating Billing Settings:
Lastly, you can update the billing settings for this project by going to Billing, under Settings. The current configuration will be visible on this page itself.
If you want to update these, click on Edit Settings. Then in the Update billing settings window, you can enable or disable the billing for this project. If you choose to enable it, you can choose the billing model between, fixed/milestone based or time based.
Additionally, you can also choose to Allow employees to enter tasks that are non-billable in their timesheets or expenses to be linked to this project.
Once you have made the required changes, just click on Update.
