How to manage timesheet approval?

Modified on Wed, 14 Jun, 2023 at 2:48 PM

In every organization, the timesheets submitted by the employee, as per standard practice, must go through an approval chain which may include the members of both the project team as well as the department heads. However, the approval chain may vary based on organizational requirements.

Here's how the admins can define the approval chain for timesheets on Keka:

Go to the Project (1) module where you'll see the Policies & Settings (2) section and the Approval Chain (3) tab. Click on Edit Settings (4).

A new window will open and here you have to check the box against 'Does the project timesheets require approval'. Then you can add roles or employees to as many approval levels as required.

Once the levels of approval are defined do click on the Update button to save the same.

This is how you can manage the timesheet approval.

In case there is no Approval chain defined under a new project, then the system will apply this approval chain by default.

Let us take a look at how can we add the Approval chain for a particular Project.

Navigate to Project (1), then click on the Projects (2) tab. You will be able to see the Project List (3). Under the Project List select Active Projects (4) to view the projects that are currently active. Then, click on the Project Name (5) that you wish to make changes to.

On the next window, select Settings(1), and under Approval chain(2), click on Edit Settings(3) to make changes in the approval chain.

Make the required changes & click on Update to save the approval settings.

These changes will be be effective for the upcoming timesheet submissions. Any timesheet that has already been submitted or is in approval process will remain unaffected.
