What is Asset Unavailable Status

In Keka, you can mark an asset as unavailable by setting its "Asset Unavailable Status." This feature allows you to classify why an asset is not available for use. Some common reasons for an asset to be marked as unavailable are loss, damage, sale, or repair.


How To Configure Asset Unavailable Status

To configure custom reasons for asset unavailability, follow these steps:


Navigate to the Org (1) from the left navigation pane and then go to the Assets tab (2). Go to the Settings tab (3) here and then select the Unavailable Status tab. 

Click on the "+Add Reason" button to add a new reason for asset unavailability. Enter the name of the reason and a description.



Once you have added a new reason for asset unavailability, you can mark an asset with that status. Here are some of the default asset unavailable status conditions provided by Keka:

1. Damaged - This status is to be used to classify those assets that are damaged to an extent that they cannot be used.

2. Lost - This status is to be used to classify those assets that are lost or misplaced.

3. Sold - This status is to be used to classify those assets that are sold.

4. Under Repair - This status is to be used to classify the assets that are sent for service, repair, or maintenance.


You can also edit or delete the default asset unavailable status conditions as per your organization's requirements.


How To Set Asset Unavailable Status

To mark an asset as unavailable, from the asset list page, select the relevant asset. To access the asset list page, go to Org (1) from the left navigation pane and then select Assets (2). Select the Asset List tab (3)



Select the asset you want to mark as unavailable from the list. You can use the categories on the left to narrow down the list to the asset you want to locate. Click on the three dots icon in the Actions column next to the asset you have selected and from the drop-down, select Mark as Not Available.



On the Mark Asset as Not Available screen, select the Reason for marking the asset as not available from the drop-down. You can also choose to update the Asset Condition and add a note. Click on Confirm once you've added all the necessary details. 



This will update the availability status of the asset and also attach a reason why the asset is unavailable for more context.
