How to cancel a leave penalty for an employee?

Modified on Tue, 9 May, 2023 at 6:07 PM

An employee may sometimes receive an undeserved leave penalty due to errors in the attendance system or if the employee has not met some of the criteria mentioned in the tracking policy.  This can occur when the biometric system fails to capture the employee's punch-in, or when entry logs are not synced on time. It could also happen when the employee is working outside the office premises and hence the attendance for the whole day or a part of the day has not been captured. This may result in the employee not completing the required gross hours or effective hours. In such cases, the employee may be penalized for an attendance issue. Depending on the capture policy you have set up, the employee may receive leave penalties which could be a deduction of a full or partial leave.

In cases where the penalties are not deserved, you can choose top reverse or cancel these. Let's see how you can do this.

Go to the employee's profile on the Keka HR portal and go to the Time (1) section, then click on the Leave (2) tab.

Scroll down to find the Leave History section and check for the Leave that has been taken into consideration due to the Tracking Policy under the Requested By column.

Once you find the leave incurred due to a penalty, click on the three dots under the Actions column and select Cancel Penalty.

The Cancel Penalty window will pop up you have to give a Reason for this cancellation and then click Confirm.

And that's it! If you want to see how to regularise attendance logs before the penalty occurs, check out this article.
