Customizing the Pay Register on Keka

We understand that some companies manage their operations based on cost centers, while others operate through departments or business units. Similarly, some organizations might operate with a focus on projects and clients. Due to the varying requirements across different industries, we have made changes to the current pay register to address these diverse requirements and we now offer the option to customize the pay register at the pay group level!

 

We have added the ability to add, delete, or rearrange columns within the pay register to enhance operational efficiency. In the current pay register, employee details  in the pay register were static, and clients lacked the flexibility to append or eliminate fields in the pay register.

 

 

Let us take a look at how we can make customisations to the pay register - 


Customization of pay register can be accessed from 2 places i.e.,


Payroll Settings

 Go to the Payroll (1) section, then click on Settings (2). Click on Configure (3) adjacent to the Pay Group.

 

 

Within the Pay Group, go to Other Settings (1), then click on Miscellaneous Settings (2), and click on the 3 dot icon (3) at the right side of the screen, then on Customize Pay Register (4).

 

 

Pay Register

Go to the Payroll section (1) and click on Run Payroll (2), then click on View Pay Register (3).

 

 

Within the pay register, click on the Customize pay register icon.

 

 

Both methods, either from payroll settings or from the pay register, will take you to the same customization page from where you can manage the fields.


While customizing the pay register, you will see two sections, one to manage the fields in pay register (1), and other to view the preview of the pay register (2) based on the selected fields.



In the section where pay register fields, you can drag & drop the fields to add/remove/re-order the fields.



The fields in pay register can be managed (1) i.e., removed/re-ordered from the preview section of pay register as well.


Click on Update (2) when you finish making the changes.



A pop-up window will appear where you will have to confirm you want to make the customizations. Click Yes, Continue to complete the process. You will get a success notification on the screen after this.



Note - 
- The default fields like employee number, employee name, month, payable and salary components cannot be removed or re-ordered.
- Salary components can be re-ordered from component ordering but cannot be done from here.
- Any customisations made in the pay register will affect retroactively for all the months.

- Employee details card will be entirely locked and it can neither be moved out of the pay register nor be reordered.
- Remuneration details and business unit fields can be reordered in the pay register but cannot be moved out of pay register fields.
