Configuring payslip settings on Keka

Introduction


You can customize the payslip that an employee sees or receives. The payslip can be customized as per the company's policy and enables them to show only relevant information on the payslip. There are various fields and information you can choose to include or exclude from a payslip. You can configure these settings at a pay group level. 


Customizing payslips for a pay group


In order to customize the payslip, click on Payroll (1) then go to Settings (2) and find Pay Groups (3). If you have multiple Pay Groups, choose the one you want to work on and then, click on the configure icon (4) against it.


  


On the next window, click on Other Settings (1) under the pay group name and then, on Payslip Settings (2). Find the 3 dots under Payslip Settings and click on it. Now click on Update settings (3).



On the next window, scroll down to find Payslip Customisation under which there are options you can use to customize the payslip. 

You can see a set of options to be included in the payslip. Here are the options you can choose.


  1. Append tax calculation summary as an addendum in payslip - Shows tax calculations as an addendum for more clarity

  2. Include additional salary column - You can include additional salary
  3. Exclude N/A Payslip Fields-  If there is no value associated with a component that is to be shown in the payslip, that field will be hidden on the payslip.
  4. Include Loan details in payslip - If there are any outstanding loans that the employee is paying back, the details of those including the EMI details will be shown on the payslip if this option is selected. 
  5. Include Leave Summary in payslip - You can include the details about the leave that the employee has consumed in the month in the payslip. 
  6. Include Arrear Breakup in payslip: If there are any arrears being paid to the employee, the breakup of this arrear amount will be included in the payslip
  7. Display payslip generated via imported salaries to employees. (These payslips will be visible to admin by default) - If you want to make the payslips generated via imported salaries visible to employees, select this option. 
  8. Include allowances and employer contributions outside annual salary in payslip - If there are allowances or other contributions that the organization is paying which is not considered to be a part of the salary, these details can be shown in the payslip.


Select the options that you want to apply to your payslips from these. 



There are some more configurations to focus on here. 



  1. 1. Password requirement: You can choose if your employees need to provide a password to access their payslips from the portal. 

  2. Choose the payslip template: You can decide between a template that shows Earnings, Contributions and Deductions or one that shows just Earnings and Deductions. Choose the template you want from the templates. Click on Preview template next to these options to get a sense of how the payslip will look like. 

  3. Decide what fields to be included in the payslip:  You can also choose which fields needs to be included in the payslip from the list of fields that are available. Drag and drop the fields you want to add from the Available Fields section to the Selected Fields section. All fields in the Selected Fields section will be shown in the payslip. 
After you have selected the required fields, click Save. 


 


Customization of the payslip is not possible for only a single employee, any customization will be refleted for the entire pay group.


Below is a side-by-side comparison of a provisional payslip before and after customization.




This customization will be effective from the upcoming pay cycles and the released pay slips will not be affected.
