The Employee Documents tab is your one-stop destination for managing all employee document-related tasks. It categorizes documents based on their verification status and alerts you to upcoming expirations. Additionally, it offers the practicality of creating custom document folders for easy access and efficient organization. This article explores the functionalities and benefits of this essential feature straightforwardly and concisely.


How to access the Employee Documents Tab?

To access the Employee Documents tab, click on Org(1) in the left navigation menu, then select Documents(2), and within that section, you can find the Employee Documents(3) option.



In the Employee Documents section, there are various tabs based on the actions taken on the employee documents. Let us understand each tab in detail.


Pending Verification

In the Keka Portal, once employees upload their documents, they are forwarded for a verification process, and these pending documents are accessible through the Pending Verification tab. In this tab, administrators can easily mark the documents as verified by selecting the Verify option or Reject them, while it also provides an organized view of all documents awaiting verification. You also have the option to sort this list based on Employees or by the type of Document, making it easy for the admins to analyze the list in order



Note: Only documents uploaded directly by employees will appear in this section. Documents uploaded by admin on behalf of employees will automatically undergo the verification process.


Pending on Employee

This tab consists of mandatory documents awaiting submission by employees. To send reminders to employees regarding these document submissions, simply click on Nudge All. Furthermore, you have the flexibility to sort the list based on either the employee's name or the document type.



Verified Documents

This tab shows a list of documents approved by the organization. Clicking on a document lets you see more information about it and find out which employees it belongs to. If you want to look at a document, click View, and if you want to remove it, click the three dots next to view to find an option of Delete Document. You can also easily download the documents from this section by clicking the Download Icon.
