Bulk importing Employee Documents

The bulk importing feature simplifies the process of uploading all employee documents, eliminating the need for manual uploads. It also categorizes documents by name and type, ensuring easy access and organized record-keeping.


Let us see how to import employee documents in bulk.


Navigate to Org(1) from the left navigation pane and select Bulk Import Employee Documents(2) from the Quicklinks section on the Dashboard tab.

You will be redirected to Bulk Uploads tab in the Employee Documents section. Click on Upload Documents(3)

In the Upload Files window, enter a batch name that can describe the name of the files or the batch of the employees

You can select identifiers to map the file names if the documents are not organized properly, or alternatively, you have the option to upload them in folder format if the documents are properly organized.


Their are certain structures to sort the file in order to access them easily,

1) List of Files

This structure type enables you to gather all files, regardless of their data type, into a single folder. For instance, you can establish a unified folder named "Documents" and place all employee documents, including certificates, experience letters, and identity proofs, within it.


2) List of Folders containing files

This structure allows you to organize documents according to their types. For instance, you can create separate folders for "Aadhar Card" and "PAN Card," where you can store all the respective documents for each employee. In this structure the sorting is based on the type of documents.


You can choose either of the structures to upload employee documents


Note: Before making your selection, it's essential to have a complete understanding of the file structure. Choosing the wrong file structure might lead to errors.


Click on Select Zip Folder(4) to choose the folder of the documents and click on Upload(5)

 Once the upload is done it will reflect in the portal.


Note: The folder of the documents can only be uploaded in Zip File format with a max size of 100 MB and it supports only pdf, docs, docx, xls, xlsx, jpg, jpeg or png document types
