Organizations often re-hire ex-employees. If the employee details are already on Keka, you do not have to create a new profile for the employee being re-hired. You can rejoin the employee and activate their employee profile again. You can do it from the employee profile or this can be done from the Org section on the portal. Here's how you can do this.
Re-join an employee from their profile
To rejoin an employee who has already been relieved, search for their profile from the search bar on the portal and open the profile. Click on the Action button and select Rejoin from the drop-down.
This will open the Rejoin Process window for the employee. You have to fill in the details on this page to add the employee back on the portal and activate their profile again.
In the job details section, you have the option to keep the previous employee number or change the number. You can also add the Date of Joining, Primary, and Secondary Job Titles, Probation Status, Probation Policy as well as the Probation End Date. Other details to enter include the Worker Type, the Band and Pay Grade, etc.
You can also enter org details for the employee including the Department and Business Unit as well as the Reporting Manager.
Enter the necessary details and then click Confirm to activate the employee profile again.
Rejoining the employee from the org section
You can also rejoin an employee from the Org section on the portal. To do this, navigate to Org (1) from the left navigation pane. Select the Exits (2) tab.
You can do this either from the Full & Final tab by selecting the Settled sub-tab.
Find the employee you want to rejoin from the list and then click on the three dots corresponding to the employee under the Actions column. Select Rejoin from the list of options in the drop-down.
This will again open the Rejoin Process tab for the employee. You can fill in the details as required and click on Confirm to rejoin the employee.
You will be taken to the Confirm Employee Rejoining window where you can click on Confirm to re-join the employee.
Rejoining an exited employee with a new joining date will remove all the leave and attendance data for that employee. However, the payroll data will still be available.
