Tracking Revenue Reports

When there are multiple projects running across the organization for various clients, tracking revenue that is being generated by these clients and projects is key. Keka PSA now comes with robust revenue reports that helps you stay update on the revenue flow from different projects and clients. You can gain more insights into your revenue generation trends and find ways to optimize your process.

 

This feature is currently only available if you have subscribed to the advanced plan that includes billing and invoicing features. 


Let us take a look at the various revenue reports available to you in Keka PSA and how you can access and use these. 


All the revenue reports will be under the Analytics section of Keka PSA.

Go to Project (1) from the left navigation pane and select the Analytics (2) tab. You will be on the Insights (3) tab by default where you can find the revenue reports under the Revenue By (4) heading. 


For all the revenue reports, revenue is considered to be generated when the invoice is generated on Keka PSA.



Currently, there are 10 revenue reports available to you. You can find these reports here on this page. But before we dive into the reports, you have to take care of one important setting- Base Currency. 


Setting up the base currency

If you are accessing the revenue reports for the first time, you will be asked to set a base currency for all your revenue reports. You maybe working with various currencies across your clients and projects. Selecting one base currency allows you to view all revenue reports in that currency irrespective of the currency that a particular client is being billed by. 


This is important to calculate the total revenue that you are generating and also to help you compare the revenue being generated by the different clients. 


If you haven't selected the base currency yet, you will be prompted to do so from the Insights page above. Click on the Click here link to go to the relevant page. You can also get here by navigating to Project >> Policies and Settings >> Analytics Settings. 


Base currency once set cannot be changed.




On this page, you will find a field with the option to select base currency. To edit this, click on the Edit icon



Select the currency from the list and then clock on the Save icon next to it. 



This will save the base currency. All the revenue analytics reports will be in this currency. Let us go back to the revenue insights screen and see what kind of insights you can gain from these. 


There are several pre-configured reports on this page which can be filtered and configured to view the revenue insights for the particular cross sections you want. The list of the various revenue insights can be found on the Insights page. The various insights that you can refer to can be found on the pane on the left. 



Let us look at these various reports and what are the insights you can gain from this. Most reports can be filtered based on the billing entities that the clients belong to, the timeframe, country and other such parameters. 


Revenue by clients

This report shows you the total revenue that you have generated from each client for any time period. This insight can tell you how much revenue has come in from any client for the selected timeframe. You can filter the data based on the Billing entity or the Time period for which you want to view the data. You can also filter this based on country if you want to view the information for a particular geography.


Revenue by Timeline

If you want to view the breakup of the revenue generated based on timeline, you can view this here. You can again filter this down based on the billing entities and the timeframe. You can also choose if you want to view the information on a month-on-month (MOM), quarter-on-quarter (QoQ), or Year on Year (YoY). You can select this from the filters on top. 



Revenue by Comparison of clients

This insight allows you to compare two or more clients to see the revenue generated from them over a timeframe. You can choose the clients that you want to compare using the filter and like other reports, you can select the timeframe and the billing entity if you want to focus on a particular client or set of clients. 



Revenue by Projects 

You can utilize this option to track the revenue generated by different projects over a specific timeframe. Simply choose the projects you wish to compare and access the revenue data. Additionally, you have the flexibility to organize and filter your data using the options provided at the top for a customized view.



Revenue by Timeline of Projects

You can use this report to track the revenue generated across a fixed timeline of various projects running in your organization. Select the specific timeline of projects you want to compare and access the revenue data. Moreover, you have the flexibility to sort your data view by utilizing the filtering options at the top for a more customized analysis. If you want to see this data for a particular project or a billing type, you can do this using the filters on top. 

                                        


Revenue by Comparison of Projects

Say you want to compare the revenue that two projects have generated over a fixed time period. This is the report to refer to in this case. As with other reports here, you can again filter the data to find specific information regarding the projects you wish to track. 



Revenue by Countries

This report will let you view the revenue that you are generating from the various countries you operate in. If you have projects running across multiple localities and want to know the relative revenue flow from each geography, this report will allow you to view this. You can of course see this data across all billing entities or for a specific entity. You can also select the time period for which this data is shown. 



Revenue by Roles

Since there are various kinds of roles associated with a project, it becomes difficult for organizations to estimate the revenue generated by each role.  With Keka PSA's Revenue by Roles insight you can have a detailed view of the revenue generated by each role. The total billing that you have logged for each role in the organization will be presented in the form of a bar graph. 



Revenue by Verticals

Revenue by Verticals also known as Revenue by Business Unit / Department is used to view the revenue generated by different units and departments that are registered under same legal entity. You can also download this data using the download link at the bottom of the page.



Effective revenue tracking is essential for organizations with multiple projects and clients. Keka PSA's Revenue Insights keeps you updated on revenue flows from various projects and clients. By tracking the revenue that is being billed by your project teams based on various cross sections, you can easily optimize your process and billing to maximize revenue and minimize costs.
