How to edit PF details in Keka?

PF details need to be entered in Keka so that the Keka can generate statutory forms. The PF UAN is unique and constant even if the employee switches organizations however PF number changes if the employee moves to a different organization.

To add/update PF details of employees individually by searching the employee in Global Search and going to the Employee profile.

Here move to Finances and under Summary you can find Statutory Information. Click the Edit option avaiable.

Here under Provident Fund, uncheck the box Check this box, if PF details are not available yet, or employee is not eligible for PF Contribution. if it is not already unchecked and enter the details in the boxes provided.

You can also edit them by going to Payroll and select Payroll Admin.

Under Payroll Status, Tax Regimes & Financial Details search for Employees' statutory info.

Here search for the employee you would like to add/update the details and click Edit.

This page is same as the one found in the Employee Profile. You can edit it as per requirement.

You can also use the Import in Bulk option available too to upload the details in an excel.

In the page download the Excel Template. 

In the template enter the PF details for the employees and Save the file.

Then go to the same page and click Upload Excel file and upload the file with the PF details.

Once the file is upload it will move to Match Columns. Here check the columns and click Continue.

Once this is done, Click Complete to upload the changes.

You can also bulk upload the PF details from Payroll and go to Payroll Admin. Here move to Payroll Imports and select Import Financial Information.

You will find a similar sheet which you can use the import the PF. You can download the Excel Template.

Enter the PF details in the template and save it.

Upload the saved file using the Upload Excel file.

Click Continue under match Columns.

If there are no errors Click Complete.
